Job context

 

The purpose of the assignment is to support the IS department's management team in monitoring financial and performance tasks, standardizing processes, and overseeing ongoing

projects. This includes automating reports and forecasts with Power BI, creating SOPs, and developing communication within the IS department.

The goal is also to ensure alignment with the strategy of the group. Autonomy, adaptability, and the ability to quickly adjust are essential to effectively support the team during this ramp-up phase.

 

2. Responsabilities

 

With the IS Performance Manager, He / she will be in charge of :

 

Financial performance & cost control

  • The apprentice will contribute to the monitoring and control of IS financial performance:
  • Support the follow-up of IS costs (Budget, Commitments, Forecast, Actuals)
  • Consolidate and analyze financial data (OPEX, CAPEX)
  • Participate in monthly closing activities and variance analysis
  • Contribute to improving financial processes (P2P, invoicing follow-up, budget tracking)
  • Ensure data reliability and support stakeholders in financial understanding

 

Contract & risk management

  • Support the maintenance and structuring of the IS contract repository
  • Contribute to improving data quality and completeness in contract management systems
  • Help track contract lifecycle (renewals, alerts, risks)
  • Participate in initiatives improving risk monitoring and visibility

 

Performance reporting & Power BI

  • Contribute to the automation of reporting (financial & performance dashboards) using Power BI
  • Develop, maintain and enhance dashboards for :
    • Cost tracking
    •  KPI monitoring
    • Resource allocation
  • Support data preparation and transformation (Excel / Power BI datasets)
  • Work on continuous improvement of reporting processes

 

 KPI definition & performance tracking

  • Define and maintain KPIs for the IS department (usage, financial performance, project tracking)
  • Collect and structure data from different tools (Ariba, Time Tracking, project tools…)
  • Provide insights and support decision-making through data visualization

 

 Application ownership – Time Tracking Act as key user / functional owner of the IS Time Tracking application: 

  • Ensure smooth operation of the tool and user adoption
  • Provide user support and guidance
  • Monitor completion rates and data quality
  • Send reminders and follow-ups to ensure compliance
  • Analyze data to support KPI and performance measurement
  • Contribute to improvements of the tool and processes

 

Process standardization (SOP) 

  • Document and maintain SOPs for IS processes
  • Contribute to harmonizing practices across IS teams
  • Ensure processes are clear, efficient, and scalable

 

 Communication & coordination

  • Support internal IS communication (news, updates, reporting)
  • Prepare presentations and performance reports
  • Coordinate with multiple stakeholders (Finance, Procurement, IS teams)
  • Ensure good visibility on IS activities and performance

 

Project monitoring support

  • Assist in tracking IS projects progress (budget, resources, KPIs)
  •  Contribute to project dashboards and status reports
  • Support governance meetings preparation (data, slides, follow-ups)
